1. Introduction

Vera Media Manager ("the Software" or "we") takes your privacy and data security seriously. This Privacy Policy explains clearly and transparently how we handle and protect your data.

The Software is designed with a local-first philosophy — core features (media scanning, management, playback) run entirely on your device with no account registration. Network connections are only initiated when you actively use authorization-related features (free trial activation, membership activation, theme market, software updates).

2. Information We Collect

2.1 Information You Provide

When you activate a free trial or a membership license, we receive:

• Email Address — Used to receive a one-time verification code for activation (codes expire in 5 minutes). Your email is stored in your license record solely for license binding, device recovery, and necessary service notifications — never for marketing
• Activation Code (membership) — Used to verify your membership status and device binding
• Device Fingerprint (Encrypted & Anonymous) — An irreversibly hashed hardware identifier for one-device-per-code license validation. Cannot be reversed to original hardware information

Apart from the activation email, we never ask for your name, phone number, ID number, or any other personally identifiable information.

2.2 Automatically Collected Information

Network requests are only made when you actively use the following features. No local files or private data are ever uploaded:

• License Validation — Periodic silent verification of membership validity (encrypted token only)
• Theme Downloads — Retrieving .nvtp theme packages from official servers
• Update Check — Checking for new software versions
• Public Third-Party Data — Steam trending charts and other public list queries (pull only, no upload)
• Anonymous Usage Statistics (Optional) — If you opt in at first launch, we collect anonymous feature usage frequency and page view statistics, along with a hashed anonymous device identifier (device_id) used only for aggregation and deduplication. No file paths, file names, or personal identity data is included. You can disable this at any time in Settings

3. What We NEVER Collect

We explicitly commit to never collecting, uploading, tracking, or recording any of the following:

• Your video, music, image, or game files and their content
• File paths, directory structures, file names, or file sizes
• Media playback history, watch progress, or play counts
• Search history, browsing history, or tag content
• Keystrokes, clipboard content, or screen captures
• Geolocation, precise IP location, or WiFi information
• Any personally identifiable information (PII) other than your activation email and anonymous device identifier

Your media library belongs to you alone. We cannot see it, and we have never wanted to.

4. Local Data Storage

All software configuration, UI preferences, media indexes, cover caches, and usage records are stored solely in local directories on your computer:

• Database — %APPDATA%\com.scm-think.vera-mm\data\media_library.db (contains only metadata indexes of your imported media)
• Cover Cache — covers\ folder in the same directory
• App Settings — Key-value store and browser localStorage in the same directory

None of this data is automatically uploaded to the cloud. You can delete the above directories at any time to completely remove all local records.

5. Data Sharing & Third Parties

5.1 We Do Not Sell Your Data

We do not sell, rent, license, or share any of your data with any third party. We have no advertising business. Your data is not our product.

5.2 Service Providers

The Software uses the following third-party services for necessary functionality:

• Alibaba Cloud ECS — Hosting the license server and theme resources (within mainland China)
• Afdian (ifdian.net) — Processing membership purchases and payments (you interact with Afdian directly; payment information is never handled by us)
• GitHub — Hosting installers and release distribution
• Email Service Provider — Delivering verification code emails (recipient address and message content only)

5.3 Legal Compliance

We will only disclose limited data when legally compelled (e.g., valid court order or law enforcement request). We will notify you of such circumstances to the extent permitted by law.

6. Data Security

We implement the following measures to protect your data:

• All authorization communication uses HTTPS (TLS 1.2+) encryption
• Device fingerprints are processed with SHA-256 irreversible hashing; servers cannot reconstruct original device information
• Theme assets are transmitted via AES-256-GCM encryption, rendered from memory — plaintext never touches disk
• Servers store no user privacy files, personal information, or media content
• Frontend code integrity verification to prevent tampering

7. Your Rights

You have full control over your data within the Software:

• Right of Access — All local data is directly viewable through the software interface
• Right of Erasure — Uninstall the software and delete the %APPDATA% directory at any time for complete removal
• Right to Data Portability — One-click data export/import is available in Settings
• Right to Withdraw Consent — Anonymous statistics can be disabled at any time in Settings
• Device Unbinding — Licenses support unbinding and transfer to new devices within policy limits
• In-App Privacy Channel — The Software provides built-in data deletion, appeal, and recovery entry points for self-service data requests

8. Children's Privacy

The Software is not directed at minors under 14. We do not knowingly collect personal information from minors. If you are a parent or guardian and believe your child has provided us with personal information, please contact us and we will promptly delete the relevant data.

9. Policy Updates

We may update this Privacy Policy from time to time. Material changes will be notified through in-app dialogs. Minor text optimizations may be made without notice; the latest version is always available in the software settings and on this page. Continued use of the Software constitutes acceptance of the updated policy.
